A leading provider of (M)SDS management services in USA approached DataWorks with the task of initially indexing and updating the 5000 (M)SDSs into the software

The client is a leading provider of (M)SDS management services in USA

Project Objective or Need

The client was looking for a reliable outsourcing partner that would help them to index 5000 (M)SDSs into the software and also to update the database with the latest (M)SDS for 5000 products already entered into the software

Key Issues addressed during the Project

The main challenge encountered while handling the project was that the (M)SDS PDF files provided were of poor quality and they were revised almost 15 years back. The Customer of our client had not updated the MSDS records over this time.

The Strategy we adopted

First stage included initial indexing of 5000 (M)SDS into the software. Data entered include:

  • Product name
  • Manufacturer Name
  • Physical State
  • Flash Point
  • Physical and Health Hazards
  • HMIS/NFPA ratings
  • First Aid
  • Departments

This was completed in a week’s time and an excel spread sheet was maintained with the product and manufacturer name.

Then, in the second stage it included acquiring the (M)SDS and updating the database with the latest version of obtained (M)SDS. We could obtain around 60% (M)SDS as the remaining products were either discontinued or the manufacturer for it was no longer operational.

Result we delivered

Seeing as how the (M)SDS data was revised ages ago, the success rate of 60% was appreciated by our client. We completed the (M)SDS acquisition task in ten working days. We also maintained and sent out to the customer an excel spread sheet which contained the delivery details along with comments about the indexing as well as on the reasons why we were not able to obtain the (M)SDS. The customer was so impressed with the quality of our work that they signed a 3-year contract with us to provide ongoing support for (M)SDS Acquisition and Indexing.
